How It Works

From WhatsApp message to branded merch at your door — here's the exact process.

Place your order & share your logo

Browse products, select quantity, and add to cart. Upload your logo file (PNG or vector). You can also start on WhatsApp — we'll guide you through the options.

Receive a digital mockup in 48 hours

Our design team prepares a placement mockup showing your logo on the product — exact size, position, and colour. Sent via WhatsApp and email within 48 hours of order.

Approve and we go to production

Review the mockup carefully. Reply with approval or request changes — at no extra charge. Nothing goes to production without your written sign-off.

Production: 5–7 working days

Your order is manufactured at our facility in Vadodara. Quality checked before packing. A GST invoice is prepared alongside your order.

Delivered pan-India in 2–3 days

Dispatched via BlueDart, Delhivery, or DTDC. Tracking shared via WhatsApp. Delivered to your office, event venue, or multiple employee addresses.

Do I need to create an account to order?

No account needed. You can place an order as a guest, or contact us directly on WhatsApp (+91 95863 65656) and we'll handle everything manually — including invoice, mockup, and delivery coordination.

What happens if I'm not happy with the mockup?

Request changes — at no extra cost. We revise the mockup until you're satisfied. You can change logo placement, size, colour, or position. Production only starts after your written approval.

Can I reorder the same design later?

Yes. We save your approved artwork. Reorders skip the mockup stage (unless you want changes) and go straight to production. Minimum order quantities still apply.

Can I order samples before committing to a large batch?

We don't produce single-piece samples — our minimum is 5 pieces. However, a digital mockup showing exact placement is always provided before production, which eliminates most sample-related concerns.

Artwork Guidelines

Getting your logo file right is the single biggest factor in print quality. Here's exactly what we need.

✓ Best — Send these

  • AI / EPS / PDF — Vector. Scales to any size perfectly. Ideal for all print methods.
  • SVG — Vector. Same benefits as AI/EPS.
  • PNG at 300dpi+ — With transparent background. Minimum 1000px wide at print size.

✗ Avoid — These cause quality issues

  • JPG / JPEG — Compression artefacts, no transparency. Avoid for logos.
  • WhatsApp images — Heavily compressed. Almost always too low resolution.
  • Screenshots — 72dpi. Will print blurry.
  • Word / PPT files — Not print-ready.

Colour Mode

  • CMYK preferred — Matches print output exactly.
  • RGB accepted — We convert before printing. Slight colour shift possible on neons and saturated blues.
  • Pantone codes — Provide codes if colour accuracy is critical.

What file formats do you accept for logo printing?

Best (vector): AI, EPS, PDF, SVG — scale to any size without quality loss.
Accepted (raster): PNG at 300 DPI or higher with transparent background.
Not accepted: JPG (compression), Word/PPT files, screenshots, or WhatsApp-compressed images.

What resolution does my logo need to be?

For raster files (PNG), minimum 300 DPI at the final print size. A logo that looks sharp on screen is often only 72 DPI and will print blurry. If unsure, send your file and we'll assess it before production begins.

What colour mode should my artwork be in?

CMYK is preferred — it matches print output exactly. RGB is accepted and we'll convert before printing, though slight colour shifts are possible on neons and saturated blues. If colour accuracy is critical, specify Pantone codes.

What does free artwork assistance include?

Every order includes free basic artwork help: cleaning up logos with white backgrounds, converting simple PNGs to vector, adjusting size for the print area, and placement advice. It does not include designing a logo from scratch or recreating non-existent artwork.

What is the minimum logo size for each product?

T-shirt left chest: 8×8 cm. Full back: up to 30×35 cm. Badges: artwork area 80×48 mm. Bottles: wrap print up to 20×8 cm. Mugs: up to 20×8 cm. Stickers: custom to your shape. We confirm the exact print area during mockup.

How do I send my artwork if I can't upload it during checkout?

WhatsApp your file to +91 95863 65656 after placing your order, or email it to hello@merchbay.in with your order number. We'll confirm receipt and proceed to mockup within 48 hours.

What is the minimum order quantity across products?

T-shirts: 5 pcs. Magnetic badges: 5 pcs. UV DTF stickers: 40 pcs per design. Bottles & mugs: 5 pcs. Diaries: 5 pcs. Keychains: 10 pcs. Jute bags: 10 pcs. Corporate combo kits: 5 sets. No per-size or per-colour minimums within an order.

Can I mix different products in one order?

Yes — T-shirts, badges, bottles, diaries, and stickers can all be combined in one order. All items carry your logo. One GST invoice covers everything, simplifying procurement for HR and admin teams.

Can I mix T-shirt sizes (S to XXL) in one order?

Yes — freely. No per-size minimums. Specify your size breakdown (e.g. 2S, 4M, 6L, 3XL, 2XXL) at checkout or on WhatsApp. No extra charge for size mixing.

Are UV DTF stickers waterproof and outdoor-durable?

Yes. UV DTF stickers are waterproof, scratch-resistant, and UV-stable. They adhere to glass, metal, plastic, wood, and acrylic. Lifespan 3–5 years indoors, 1–2 years outdoor depending on exposure.

What T-shirt colours are available?

White, Black, Grey, Navy Blue, and Charcoal. All available in S to XXL. Dry-fit and 100% cotton variants are available. Custom colour options available for orders of 100+ pieces — contact us.

Are branded bottles and mugs food-safe?

Yes. Bottles are food-grade stainless steel, BPA-free. Mugs are ceramic with food-safe glaze. All printing materials are non-toxic and compliant with food-contact safety standards.

Can different badges in one batch have different names?

Yes — each badge in a batch can carry a different name and designation while sharing the same logo design. There is no extra charge for variable data printing within a single badge order.

Printing & Branding Methods

We use different printing techniques depending on the product and your logo. Here's what each method means for your order.

Screen Printing

Best for: T-shirts, jute bags, large fabric runs

Ink is pushed through a mesh stencil directly onto the surface. Extremely durable — survives 40+ washes. Most cost-effective for 1–3 colour logos on large runs (50+ pieces). Colour changes increase cost.

DTF Printing (Direct to Film)

Best for: T-shirts with full-colour or gradient logos

Full-colour, photographic-quality print transferred onto fabric. No colour limitations — works for logos with gradients, shadows, and multiple colours. Slightly less durable than screen print on repeated washing.

UV DTF (Stickers)

Best for: Stickers on any hard surface

UV-cured ink printed on a special film, then transferred onto the surface. Waterproof, scratch-resistant, and outdoor-durable. Works on glass, metal, plastic, wood. Not suitable for soft surfaces.

UV Printing

Best for: Bottles, mugs, rigid items

Ink is cured instantly under UV light directly onto the product surface. Full-colour, high-detail, scratch-resistant. Used on steel bottles, acrylic items, and hard plastic products.

Laser Engraving

Best for: Metal card holders, premium bottles

Logo is etched into the surface using a laser beam. Permanent, never fades or peels. Creates a brushed-metal contrast finish. Premium look for client gifts and executive merchandise.

Sublimation

Best for: Mugs, ceramic items

Dye is transferred into the surface under heat and pressure — becomes part of the material, not a layer on top. Full-colour, wrap-around coverage on ceramic mugs. Dishwasher safe.

Which printing method is most durable for T-shirts?

Screen printing is the most durable for T-shirts — wash-resistant for 40+ cycles for 1–3 colour logos. DTF (Direct to Film) is better for full-colour or gradient logos but slightly less durable over repeated washing. Both are industry-standard for branded apparel.

Can I get my exact Pantone colour matched?

Pantone matching is available for screen printing on fabric. For UV printing on hard goods (bottles, badges), we work to match as closely as possible within the limits of CMYK printing. Specify your Pantone code when ordering and we'll confirm achievability.

Will printed colours exactly match what I see on my screen?

Screen colours (RGB) and printed colours (CMYK) always differ slightly — this is a physical reality of printing. We convert your file to CMYK before production. If colour accuracy is critical, send a CMYK file or specify Pantone codes, and we'll confirm expected output during the mockup stage.

What is the difference between screen printing and DTF for T-shirts?

Screen printing uses ink pushed through a stencil — best for 1–3 colours, highly durable, most cost-effective for large runs. DTF (Direct to Film) transfers a full-colour printed film — best for complex logos with gradients, shadows, or many colours. We recommend based on your artwork after reviewing it.

Is laser engraving available and what does it look like?

Yes — laser engraving is available on metal items (card holders, premium bottles). It creates a permanent etched mark with a brushed-metal contrast finish. No ink is used — the logo is physically engraved into the surface. Premium, permanent, and considered the highest-end finish for corporate gifts.

Do you deliver pan-India?

Yes — we deliver to all states and union territories across India via BlueDart, Delhivery, and DTDC. We do not currently offer international shipping.

Can you deliver to multiple addresses for employee gifts?

Yes — for remote teams and distributed gifting, share a delivery list (name, address, item) and we ship individually. Pan-India delivery to each address. Bulk pricing applies regardless of number of delivery locations.

What happens if delivery fails or the package is returned?

If delivery fails due to an incorrect address or 3 unanswered attempts, the order returns to us. Re-shipping charges apply. Please double-check addresses before ordering — we cannot absorb re-shipping costs for address errors.

How do I track my order?

Once dispatched, we share the courier partner name and tracking number via WhatsApp and email. Track directly on the courier's website. If you haven't received tracking details within 24 hours of expected dispatch, WhatsApp us.

Can I get rush delivery for an urgent event?

Rush production is possible for stickers (3–5 days) and badges (3–5 days). T-shirts require a minimum of 5 working days. WhatsApp us before ordering to confirm feasibility. Rush production fees may apply.

Policies & Refunds

We make custom products — our policies reflect that. Here's what to expect.

Mockup Approval = Your Protection

Nothing prints without a digital mockup you've approved in writing. This protects both sides — once approved, what you see is what you get. Review every detail carefully before signing off.

Cancellations

Before mockup approval: full refund. After approval but before production: 10% processing fee. After production begins: cannot be cancelled — custom products cannot be restocked.

Quality Issues

If your order differs materially from the approved mockup, or has a manufacturing defect — we replace or refund in full. Report within 48 hours of delivery with photos.

What We Don't Refund

Errors approved in the mockup, colour variation within normal printing tolerance, or change of mind after production. Colour on screen may differ slightly from physical print.

GST Invoices

Every order includes a proper GST invoice from Kushal Uniforms & Gifting Solutions, Vadodara. Registered businesses can claim Input Tax Credit on eligible purchases.

Payment Terms

100% advance for standard orders. 50/50 split for orders above ₹50,000. Net-15/30 terms available for repeat corporate accounts after 3 completed orders.

When can I cancel my order?

Before mockup approval: full refund, no questions. After mockup approval but before production: 10% processing fee. After production begins: orders cannot be cancelled — custom products made to your specification cannot be restocked or resold.

What if my order has a defect or doesn't match the mockup?

We replace or refund in full if: the product differs materially from the approved mockup, there is a manufacturing defect, or the wrong product/quantity is delivered. Report within 48 hours of delivery with photos to hello@merchbay.in or WhatsApp.

Is there a warranty or guarantee on print quality?

Yes — we guarantee that your order matches the approved mockup. If it doesn't, we replace it at no cost. Our quality check before dispatch catches most issues internally. For ongoing print durability, follow care instructions (gentle wash, inside-out for fabric items).

Can I get a GST invoice for my order?

Yes — every order includes a proper GST invoice from Kushal Uniforms & Gifting Solutions, Vadodara (GST-registered). Issued within 24 hours of dispatch. Eligible for Input Tax Credit for registered businesses. Contact us for our GSTIN for vendor registration.

What payment methods do you accept?

UPI (GPay, PhonePe, Paytm), credit/debit cards (Visa, Mastercard, RuPay), net banking, and bank transfer (NEFT/RTGS/IMPS) for bulk orders. Purchase Orders accepted for approved corporate accounts. 100% advance for standard orders.
